Privacy Notice

Vykon Coaching ("VYKON") operates the VYKON Hub at hub.vykon.us. For the information described here, VYKON is the data controller — we decide why and how it is used.

What we collect and why

• Account details (name, email, login credentials, role such as loan officer or branch manager) — to create and secure your account and provide the service. Legal basis: performance of our contract with you.
• Plan and production data (life plan, business plan, daily activity counts, goals, pipeline stages, partners, leads, coach notes) — this is the product; we store it so you and, where applicable, your manager or coach can use it. Legal basis: contract.
• Branding details (headshot, company and team logos, phone, NMLS ID, disclaimers) — to produce the branded documents you print. Legal basis: contract.
• Support messages — to answer you. Legal basis: contract and legitimate interests.
• Usage and device data (pages used, timestamps, IP address, browser and device identifiers, error logs) — for security, fraud prevention, reliability and product improvement. Legal basis: legitimate interests.
• Email preferences and delivery events (opens, bounces, unsubscribes) — to send the reminders and recaps you asked for and to keep our email healthy. Legal basis: consent and legitimate interests.

Please do not store consumer credit reports, full social security numbers, or other sensitive borrower data in free-text fields. The Hub is a coaching tool, not a system of record for loan files.

Who we share it with

• Service providers and subprocessors — hosting and database, email delivery, and the AI provider that powers the VYKON Coach. They process data only on our instructions.
• Paddle, our Merchant of Record — for the sale of subscriptions, payments, subscription management, invoicing and tax compliance.
• Your manager, branch or coach — if you joined through a branch or coaching organization, they can see your production numbers and coaching reports. Your personal life plan stays private to you.
• Professional advisers (legal, accounting) and authorities where required by law.

We do not sell your personal information and we do not use it to train third-party AI models.

Retention

We keep your account and plan data for as long as your account is active, and for up to 12 months after cancellation so you can come back or export it. After that it is deleted or anonymised. Billing records are retained as long as tax and accounting law requires. You can ask us to delete your account sooner.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent for marketing email at any time (every reminder email has an unsubscribe link). Email support@vykon.us and we will respond within 30 days. We will not discriminate against you for exercising these rights.

Security

We use encryption in transit and at rest, row-level database access controls so people only see their own data, role-based permissions for managers and admins, and least privilege access for our own team. No system is perfectly secure, but we take this seriously and will notify you of a breach affecting your data as required by law.

Cookies

We use essential cookies and local browser storage to keep you signed in and remember preferences such as which quote you've already seen. We do not use advertising cookies. You can clear these in your browser, though signing in will require doing so again.

International transfers

We are based in the United States and our providers may process data there. Where data is transferred from the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses.
